Client books
A client messages your WhatsApp number requesting an appointment. Your team confirms the slot in the shared inbox and creates a contact record in Wavy.
Industry · Spas & Salons
Spas and salons use Wavy to handle appointment inquiries in a shared inbox, send booking confirmations and rescheduling links via approved templates, and run consent-aware campaigns for seasonal offers and loyalty rewards. Campaign workers recheck opted_in contacts and campaign launch has a review gate; manual and rule-based sends follow separate controls.
What Wavy does for spas and salons
These are the workflows Wavy is built to support for spas, salons, and wellness studios. Each job has a clear input, a review boundary, and an honest output state.
1. Appointment booking and confirmation. A client messages your WhatsApp number to request an appointment. Your team handles the conversation in the shared inbox, agrees on a slot, and sends a booking confirmation using a Meta-approved template. The confirmation is reviewed by a human before it reaches the client. Wavy tracks whether the message was delivered, read, or failed, and surfaces that state honestly.
2. Reminder and rescheduling sequences. For opted-in clients with upcoming appointments, your team builds a reminder campaign — a 24-hour reminder, a 2-hour check-in, and a rescheduling link if needed. Each reminder uses an approved template, is scheduled to a specific time, and enters a review queue before dispatch. If a client reschedules or cancels, subsequent reminders are updated or suppressed.
3. Loyalty and seasonal offer campaigns. For opted-in clients, your team creates promotional campaigns for seasonal services, loyalty discounts, or new treatment launches. The campaign uses a Meta-approved template, targets only the opted-in segment, and enters a review queue before dispatch. If a client opts out, they are suppressed from all future campaigns immediately.
Example workflow
This is an illustrative workflow showing how the pieces fit together. It is not a promise of outcomes — your results depend on your own provider configuration, contact quality, and message content.
A client messages your WhatsApp number requesting an appointment. Your team confirms the slot in the shared inbox and creates a contact record in Wavy.
A team member sends a booking confirmation using an approved template after reviewing the content. Wavy tracks delivery state honestly.
Pre-appointment reminders are added to a campaign with the opted-in client in the segment. Each reminder is scheduled and enters the review queue.
A reviewer approves each reminder before it is queued for dispatch. No reminder is sent to the provider without this approval step.
Approved messages are sent through the WhatsApp Cloud API. Wavy tracks queued, accepted, delivered, read, and failed states for each message.
If the client replies 'STOP' or asks to opt out, Wavy suppresses all remaining scheduled messages and future campaigns immediately.
Provider and configuration dependencies
WhatsApp Business API (Meta Cloud API). You must connect your own Meta Business account and WhatsApp Business number. Wavy does not provide a shared number — your message reputation, quality rating, and template approvals belong to your Meta account.
Approved message templates. Booking confirmations, reminder messages, rescheduling links, and promotional templates must each be submitted to and approved by Meta before they can be used in a campaign. Wavy surfaces the approval status; it cannot bypass Meta's review.
Contact opt-in records. You are responsible for maintaining evidence of consent for each client you message with promotional content. Wavy enforces suppression for contacts who opt out, but the initial opt-in record is yours to keep.
Optional: AI assistant. If enabled, the AI assistant can draft suggested replies for client queries in the inbox. Copilot drafts are returned for human review; bot connectors are a separate path and are not represented by this draft flow.
Consent and review boundaries
Wavy is designed so that no consequential action happens without a human decision. Specifically:
• Appointment confirmations require reviewer approval before they are sent to the provider.
• Promotional and loyalty campaigns enter a review queue — each scheduled message must be approved before dispatch.
• AI-drafted replies are suggestions in the inbox — they are never sent to a client without a human clicking approve.
• Opt-out requests are processed immediately — once a client opts out, no campaign message will be dispatched to them.
Questions
No. The AI assistant can draft suggested replies for booking inquiries, but every draft requires human review and approval. Your team confirms the slot and sends the confirmation — the assistant does not book or confirm on its own.
Yes. Clients can message to request changes. Your team handles the rescheduling in the shared inbox and sends an updated confirmation using an approved template after review. Reminder sequences are updated accordingly.
Wavy can schedule loyalty campaigns for opted-in clients, but each campaign enters a human review queue before any message is dispatched. Clients without opt-in are excluded automatically.
Wavy includes a built-in contact manager and appointment tracking in the shared inbox. Direct booking-software integrations are listed as planned — check the integrations page for current status.
Connect your own Meta Business number, import clients with consent, create approved templates, and start sending confirmations and campaigns — with human approval gates at every consequential step.
