These are the workflows Wavy is built to support for solo service providers, freelancers, and independent consultants. Each job has a clear input, a review boundary (which is you), and an honest output state.
1. Prospect inquiry handling and lead tracking. A prospect messages your WhatsApp number after seeing your portfolio, a referral, or a social media post. Wavy captures the conversation in the shared inbox and lets you tag it with the service type (design, writing, consulting, development). You review the conversation, respond with service details, and assign a lead stage — new, qualified, proposal sent, won, lost. No AI sends a message on your behalf. Wavy tracks whether your reply was delivered, read, or failed.
2. Proposal and follow-up sequences. For opted-in prospects, you create a follow-up sequence — a proposal delivery message, a check-in after 3 days, and a final follow-up. Each message uses a Meta-approved template, is scheduled to a specific time, and enters your review queue before dispatch. You approve each message before it is sent. If a prospect opts out, remaining messages are suppressed automatically.
3. Invoice and payment collection. When a client agrees to engage your services, you send an invoice or payment link through WhatsApp. If a payment provider is connected, the payment link is generated only when you explicitly request one and is sent only after your review. Wavy tracks the payment link delivery state honestly. The AI assistant, if enabled, can draft suggested replies for prospect inquiries, but no draft is sent without your approval.

You qualify
You review the conversation, respond with service details and availability, and assign a lead stage. No AI-generated message is sent without your review and approval.

You create a proposal delivery message using an approved template and send it after reviewing the content. Wavy tracks delivery state honestly.
Follow-up scheduled
If the prospect has opted in, you add them to a follow-up sequence. Each follow-up uses an approved template, is scheduled, and enters your review queue.
You approve
You approve each follow-up message before it is queued for dispatch. No message is sent to the provider without your explicit approval.
Opt-out suppression
If the prospect replies 'STOP' or asks to opt out, Wavy suppresses all remaining scheduled messages immediately.
Provider and configuration dependencies
What you need before these workflows go live.
WhatsApp Business API (Meta Cloud API). You must connect your own Meta Business account and WhatsApp Business number. Wavy does not provide a shared number — your message reputation, quality rating, and template approvals belong to your Meta account.
Approved message templates. Proposal delivery messages, follow-up templates, and invoice notifications must each be submitted to and approved by Meta before they can be used in a campaign. Wavy surfaces the approval status; it cannot bypass Meta's review.
Contact opt-in records. You are responsible for maintaining evidence of consent for each prospect you message with follow-up sequences. Wavy enforces suppression for contacts who opt out, but the initial opt-in record is yours to keep.
Optional: Payment provider. If you want to collect payments inside WhatsApp, connect your own UPI, Razorpay, PhonePe, or Stripe account. Payment links are generated only when you explicitly request one and are sent only after your review.
Optional: AI assistant. If enabled, the AI assistant can draft suggested replies for prospect inquiries in the inbox. Copilot drafts are returned for human review; bot connectors are a separate path and are not represented by this draft flow.
Consent and review boundaries
Where you stay in control.
Wavy is designed so that no consequential action happens without your decision. As a solo operator, you are the reviewer. Specifically:
• Proposal sends and follow-up campaigns require your approval in the campaign queue before they are sent to the provider.
• Payment links are generated only when you explicitly request one, and the link is sent only after your review.
• AI-drafted replies are suggestions in the inbox — they are never sent to a prospect without you clicking approve.
• Opt-out requests are processed immediately — once a prospect opts out, no follow-up message will be dispatched to them.
